POSITION TITLE:

Assistant Director Unity and Specialty Society Services

GENERAL SUMMARY:

Assist the director with the general management of the department, including work coordination for society management and personnel issues. Manage the Board of Councilors and assist with the Board of Specialty Societies' activities. Liaise with appropriate AAOS leadership, councils, committees and staff. Function as an account director for assigned society. Manage the activities of the society to ensure a healthy and viable organization. Responsible for the management and direction of all administration, operations, programs, activities and affairs of the society, as generally determined by the society leadership and in concert with key association management principles and ethics.

Serve as liaison and the manager of the Board of Councilors and assist with the management of the Board of Specialty Societies (BOS). Create meeting agendas; arrange and communicate the meetings; develop and oversee the distribution of the agenda materials; draft, distribute and archive meeting minutes/official business. Oversee the management of the committees and their activities. Assist with the creation of and managing the annual budget. Assist with the project and committee management of the BOS and its activities. Participate in the symposium development of the National Orthopaedic Leadership Conference and the Fall Meeting.

Assist with the management of the department: Supervise society directors and society coordinators to ensure that the goals of the department and the clients are met. Train staff, assign projects and tasks and ensure staff is able to execute all policies, programs and initiatives. Conduct performance reviews, counsel and guide staff to attain performance goals. Serve as a liaison; assist with the development and/or update of management contracts based on the client's needs. Represent the department at any staff, committee, or board meeting; assume responsibility for the department during the director's absence.

Function as a director for a society to build and maintain a healthy and viable organization. Support the mission and the vision of the society, as expressed through the bylaws, policies, positions, resolutions and actions of the leadership. Develop an annual strategic plan and an annual operating plan to achieve goals outlined in the strategic plan. Oversee the development, implementation and evaluation of programs and services that support the mission. Provide administrative support and guidance to leadership. Support up to four board meetings per year. Create the agendas with leadership input; arrange and communicate the meetings; develop and oversee the distribution of the agenda materials; draft, distribute and archive meeting minutes/official business; conduct follow-up on action items. Develop and present reports at each board meeting; develop and maintain effective communications and relations with leadership.

Provide organization oversight and support. Ensure society is in compliance with state and federal regulations and that appropriate legal documents are filed on time with respective governing entities; maintain appropriate insurance coverage. Oversee the financial health and stability of the society; draft and propose annual operating and meeting budgets. Make financial decisions consistent with the approved budgets and strategic/operation plans. Create and/or direct the creation of necessary manuals (i.e. board, policy, processing, etc.); ensure timeliness.

Direct member/constituent programs. Ensure meetings and programs are timely, within budget and meet goals. Direct the production and distribution of prospective, new and renewing membership communications, solicitations and documents. Oversee the management of the membership database. Manage communications to members, nonmember constituents and to the public, including quarterly newsletters and web site. Build awareness within the orthopaedic community and promote the professionalism and expertise to relevant audiences. Produce an annual report.

QUALIFICATIONS:

Required: Undergraduate degree. At least five years of supervisory (i.e. staff management and development) experience, coupled with association management experience that includes strategic planning, advocacy, financial management, communications management, membership management and volunteer development and management. Excellent member service mentality and delivery; effective verbal and written communications; and strong organization and interpersonal skills. Ability to identify, analyze and evaluate situations and issues important to the department, the Academy and the orthopaedic community. Ability to think proactively and creatively. Must excel in a fast-paced, team-oriented environment. Cooperative, supportive and “can do” attitude is crucial to success. This person must have integrity and credibility with leaders, members and staff. Desired: CAE and/or IOM designations are preferred.
