POSITION TITLE:
Society Manager, Knee, Hip & Leadership
GENERAL SUMMARY:
In collaboration with society leadership, manage the activities of assigned orthopaedic societies to facilitate and maintain healthy and viable organizations. The society manager is responsible for the management of all administration, operations, programs, activities, and affairs of the assigned societies, as generally determined by the societies’ leadership, and in concert with key association management principles and ethics. Serve as a society – and at times a department liaison – to appropriate AAOS leadership, cabinets, councils, committees, and staff. Assist with project management and administration to facilitate leadership groups’ projects and activities.
Support the mission and vision of the societies as expressed through the societies’ bylaws, policies, positions, resolutions, and actions of the societies’ leaderships. Work with leaderships in the formulation of all policies and positions. With leadership, develop an annual strategic plan; develop and implement an annual operating plan to achieve goals outlined in the strategic plan. Oversee the development, implementation, and evaluation of programs and services that support the mission. Ensure outcomes are on-time and within budget.
Provide administrative support and guidance to leadership. Create meeting agendas with leadership input; arrange and communicate the meetings; develop and oversee the distribution of the agenda materials; draft, distribute, and archive meeting minutes/ official business; conduct follow-up on action items. Develop and present appropriate reports at each board meeting; develop and maintain effective communications and relations with leadership. Ensure all committees and task forces are meeting objectives; provide guidance as necessary.
Provide organization oversight and support. Ensure society is in compliance with state and federal regulations and that appropriate legal documents are filed on time with respective governing entities; maintain appropriate insurance coverage. Oversee the financial health and stability of the society; provide for proper and transparent fiscal record keeping; draft and propose annual operating and annual meeting budgets; and meet financial goals. Make financial decisions consistent with the approved budgets and strategic/operation plans. Create necessary manuals (i.e. board, policy, processing, etc.) to support appropriate processes and procedures; ensure timeliness.
Manage staff assigned to accounts. Train staff, assign projects and tasks, and ensure staff is able to execute all policies, programs, and initiatives. Conduct performance reviews, counsel, and guide staff to attain performance goals. Foster excellent member service and program management.
Direct and implement leader/ member/ constituent programs. Manage and implement all logistical and operational elements of meetings and courses (board meetings, member meetings, committee meetings, and educational programming) to include site selection, contract negotiations, events and program management, agenda book development, financials, marketing, and on-site management. Ensure meetings and programs are produced on time, within budget, and meet goals.
Direct the creation, production, and distribution of prospective, new, and renewing membership communications, solicitations and documents. Oversee the management of the membership database. Manage communications to members, nonmember constituents, and the public. Produce newsletters; manage relationships with vendors; and oversee distribution. Ensure the Web site is maintained, timely, and user-friendly. Direct and ensure appropriate and timely response to members, prospective members, the public, and other constituents. Manage society correspondence as appropriate. Develop relationships with the leadership and members of other organizations and industry. Build and maintain relationships with AAOS leadership and staff. Identify collaborative opportunities; create and manage as appropriate. Conduct other duties as needed or assigned. Provide administrative and/or managerial support as requested to facilitate department projects and activities.
Comply with all safety policies and practices of the AAOS and all safety standards associated with this position.
TRAVEL:
20 - 25 days per year
QUALIFICATIONS:
Required: Undergraduate degree. At least five years association management experience that includes strategic planning, governance, financial management, communications management, membership management, meetings management, and volunteer management. Excellent member service mentality and delivery; effective verbal and written communications; and strong organization and interpersonal skills. Ability to think proactively and creatively. Must excel in a fast-paced, team-oriented environment. Cooperative, supportive, and “can do” attitude is crucial to success. This person must have integrity and credibility with leaders, members, and staff. Desired: CAE, CMP, and/or IOM designations are preferred. Experience with TIMSS, Access, and Personify is desired.
