Housing Reservations and Travel Information

AAOS has contracted over 14,000 hotel rooms in Las Vegas for the 2019 Annual Meeting. Exhibitors must obtain sleeping rooms through AAOS’s official housing bureau, MCI, USA (formerly known as Wyndham Jade). Exhibitors or their agents may not negotiate blocks of rooms directly with hotels in the Las Vegas area. If such a violation should occur, the company will lose 25% of its accrued priority points for exhibit space assignments for the AAOS 2020 Annual Meeting.



Exhibitors with booth space over 1,500 sq. ft. will be allocated a room block based on their previous year’s pick up. Exhibitors with booth space 1,500 sq. ft. or less are able to reserve a maximum of three rooms per 100 sq. ft. of booth space.

From the exhibitor's allotment of rooms, exhibitors will be able to secure their sleeping rooms in properties designated by AAOS as follows:

Area A – 40% Area B – 60%

Exhibitors may choose to reserve all of their sleeping rooms in Area B hotels, but cannot reserve more than 40% of their rooms in Area A hotels. The designation of "Area A" and "Area B" to each hotel is included in the Hotel List .

Requests for additional rooms over this allotment may be requested by emailing MCI, USA. Requests for additional rooms will be assigned based on availability.

Housing Dates
July 20 Tier 1 opens (booth size larger than 1,500 sq. ft.)
Aug. 22 Tier 2 opens at 11:00 AM CST (booth size 400 - 1,500 sq. ft.)
Sept. 5 Tier 3 opens at 11:00 AM CST (booth size 100 - 300 sq. ft.)
Oct. 9 Requests for additional rooms will be assigned based on availability
Jan. 8
Last date to enter names to rooms. Rooms without names will be dropped from your block at 5:01 PM CST
Feb. 12
Cancellation and replacement deadline for refundable deposits - 5:00 PM CST
Feb. 25
Contact hotels directly to make changes
Tier 1 - Room Block Attrition
Prior to October 17: Tier 1 exhibitors may adjust their total room nights reserved without any penalty.
October 17 @ 5:01 pm CST - November 27 5:00 pm CST: Tier 1 exhibitors may adjust their total room nights reserved by an additional 5%.
After November 27 @ 5:01 pm CST: Tier 1 exhibitors will be financially responsible for 90% of the final room night allocation contracted per hotel.

Beware of Fraudulent Housing Companies!

Every year, exhibitors are contacted by companies that claim to be AAOS' official housing vendor, and/or make claims of available room reservations for the AAOS Annual Meeting.

Beware of these false and fraudulent housing claims. MCI, USA is the ONLY approved vendor for housing for the AAOS 2019 Annual Meeting. Other groups are not associated with AAOS or with MCI, USA in any way, and many of them are scams that do not even have real blocks of rooms to reserve. Do not provide your credit card information or other payment for hotel reservations to anyone besides the official housing bureau for AAOS: MCI, USA.  AAOS is not responsible for any reservations made or payments submitted through unofficial housing companies.
