Frequently Asked Questions
When and where is the AAOS Annual Meeting?
The AAOS 2027 Annual Meeting will take place Wednesday–Friday, March 3–5, 2027, in Las Vegas at the Venetian Convention & Expo Center. The address is 201 Sands Avenue, Las Vegas, NV 89169.
What are the exhibit hall hours? When can I install/dismantle my booth?
The exhibit hall schedule, along with important dates related to booth and hotel reservations, badge registration, booth services, shipping, and more can be found on the Important Dates and Deadlines for Exhibitors page.
What is the cost for exhibit space?
All exhibit space costs $40 per square foot. There is a $200 corner fee for each open corner on a linear booth (10' x 10', 10' x 20', 10' x 30'). The corner fee does not apply to island booths (20' x 20' and larger). Credit card payments are subject to a non-refundable 2.5% surcharge. Full booth payment is due on Nov. 5, 2026.
What do I need to apply for exhibit space?
To be included in the initial round of priority space assignments, applications must be accompanied by a 50% deposit of the booth fee by July 30, 2026. Beginning November 5, 2026, all new booth applications require payment in full at the time of submission. An application is not considered “received” until the required payment has been received by AAOS. If your company has never exhibited at AAOS Annual Meeting, you must first complete the Company Review Process before you can apply to exhibit. This process is a one-time requirement and does not need to be repeated in subsequent years. Learn more about the Company Review Process here.
Can I cancel my exhibit space?
All cancellations of exhibit space must be sent in writing to exhibits@aaos.org. Written notice of cancellation must be received by the dates listed to receive a refund. A full refund of fees paid is available through July 30, 2026. For cancellations between July 31–Nov. 5, 2026, AAOS retains 50% of exhibit space fees. After Nov. 5, 2026, AAOS retains 100% of exhibit space fees.
How many badges does my company receive with a booth?
Exhibitors will receive five complimentary badges per 100 square feet of exhibit space purchased. No additional badges over the allotment will be provided or sold. This limit was requested by AAOS membership in an effort to limit the total number of exhibitor representatives that may be on the exhibit hall floor at any one time.
However, we do offer exhibitors the option to exchange their badges online in the Exhibitor Resource Center or on-site at no cost. If the original badge has been printed, it must be presented on-site at exhibitor registration to complete the exchange. Booth personnel exchanging a badge on-site will be required to show proof of affiliation with the exhibiting company (business card, etc.) and a photo ID. Review the exhibitor badge guidelines for more details.
Will my badge give me access to educational sessions?
An exhibitor badge allows admittance to the exhibit halls, and if space permits, instructional courses, poster presentations, symposia, and paper presentations. CME credit will not be awarded to those with exhibitor badges.
Does the primary contact need to be changed if the primary contact will not be on-site to pick up the badges?
The main contact does not need to be changed. Any registered company representative with a photo ID can pick up the badges. They will also need to provide an on-site phone number, which will be shared with any company representatives who visit on-site registration after the badges are collected.
Where will Exhibitor Registration be located for badge pick up?
Exhibitor Registration will be located on Level 2, in Lobby C of the Venetian Convention & Expo Center.
How and where can I make hotel reservations?
Hotel rooms must be reserved through our housing vendor, onPeak. Any other agency attempting to present themselves as an official partner of AAOS is doing so fraudulently. Use of any other agency or booking through a hotel directly may result in a loss of priority points for the 2028 Annual Meeting.
Details regarding exhibitor hotel guidelines, a list and map of hotels, and important dates can be found on the Exhibitor Housing page.
How can I get a letter of invitation from AAOS for visa purposes?
International exhibitors that require visas to travel to the United States can request invitation letters from AAOS. These letters do not guarantee that visas will be approved, but they can be presented with your visa application process and may be required by the U.S. consulate for some countries. Fill out this form to request an official AAOS invitation.
What is the height limit for my booth?
Linear booths are 8 feet in the rear half of the booth and 4 feet high within 5 feet of the front aisle. Hanging signs and/or lights are not permitted.
Island booths are 25 feet measured from the floor up to the top of the hanging sign. Lighting and truss may be hung above this height, but they are not allowed to extend beyond the perimeter of the booth space.
